1.0 Training Allocation Definition

A training allocation is a set number of tester products which are distributed on a quarterly basis to employees to assist with their training and development. Allocation products should be used for staff training purposes only, and are supplied as a training tool.

The training allocation is non contractual. Clarins can change the products offered quarterly, change the criteria set to determine what products employees can order or stop training allocation provided altogether at any time. Changes to the training allocation issued can happen without notice being given.

2.0 Staff Portal Definition

The Staff Portal is an internet based ordering system. The portal is an easy way to order the training allocation online.

3.0 Misuse of Company Products

Misuse of the training allocation could be considered as gross misconduct, please see below for the policy on misuse of company products as detailed in the Staff Handbook.

Misuse of retail products, salon sizes and merchandising materials could lead to the termination of your employment without notice by reason of gross misconduct.  Misuse is defined as the use of Clarins products without appropriate authorisation, for purposes other than sales and demonstration at your place of work and at Clarins authorised events or for personal testing.

The resale, refund or exchange of Clarins retail products bought under our staff purchase scheme, received via allocation for training purposes or received in any other way may also result in the Company immediately terminating your employment without notice by reason of gross misconduct.

Please also be aware that it remains your responsibility to ensure friends and family do not misuse, resell or refund these products by any means, not limited to returns to store or use of trading sites such as Ebay. Failure to ensure these procedures are adhered to is also likely to constitute gross misconduct. In line with the Clarins Data Protection Policy, please be aware that any personal information provided to the Company, including but not limited to your name, physical address, next of kin / emergency contact information, email address, and telephone number may be used for the prevention and detection of misconduct and crime.

Please note also that testers, samples, promotional rewards / gifts and point of sale material are the property of Clarins (UK) Limited and are supplied for the use as a service tool to allow demonstrations, sampling and promotion of products. Neither testers, samples, promotional rewards or point of sale material should be removed from Company premises/store without Clarins Management permission.

4.0 Tester Products

Please note that products issued as part of the training allocation are testers.

5.0 Tester Products available to order for Allocation

Currently the amount of products available to order is based on contracted hours worked and is reviewed on a quarterly basis to reflect any changes to employment status.
If employees are contracted more than 17 hours they will be able to order a full allocation, if they work 17 hours or less then they will be able to order a reduced allocation. The portal will guide employees each quarter with what products can be ordered.
Please note this criteria could be subject to change.

6.0 Training Allocation Code (FT/PT Code)

Employees are allocated a code every quarter which instructs the staff portal to assign how many products can be ordered for each employee.  If there is no change to employment status it is likely that employees will have the same code every quarter.

Each code will begin with either a FT or PT, this represents the number of hours worked –

Full Time (FT) = more than 17 hours, full allocation
Part Time (PT) = 17 hours or less, reduced allocation

The next numbers (0,1,2 or 3) represents the number of months within the previous quarter that employees would need training products for.  For example, if employees have worked the full 3 months of the quarter, and over 17 hours per week (Full Time), they will receive the full 3 months allocation (FT3).

6.1 New starters
For new starters, employees will receive part of the allocation for that quarter for every full month worked, for example;

New starter Full Time – Start date 14th January
February – Full month worked
March – Full month worked
April – Employees may order their allocation and their Code will be FT2 (Full Time for 2 months)

 

6.2 Attendance during the Allocation Quarter

Attendance during the quarter that employees are ordering their allocation can affect the code you are assigned. Employees who have been sick for over a month will have the allocation products for training purposes reduced depending on how many months worked within the quarter.  maternity leave is not affect and employees will receive their full allocation.

7.0 Current Allocation Quantities

For Part Time employees, the process is the same, however the number of products will be reduced accordingly. Please note that these could be subject to change at the discretion of Clarins.

8.0 Marketing & Merchandising Material

Merchandising and marketing materials are exclusive property of Clarins (UK) Ltd and should only be used for their intended purpose.

9.0 Promotions & Gifts

Promotional rewards/gifts are the property of Clarins (UK) Ltd. They should only be issued in accordance with the documented qualifier. Customers must receive what they are entitled to, e.g. not half of a gift or a part filled bottle of perfume . If unsure what the qualifying purchase is, employees should contact their Manager for clarification. The issuing of a gift or promotional item where the qualifying purchase has not been made could be considered misuse and may result in disciplinary action.

10.0 Misuse 

Misuse is defined as the use of Clarins products without appropriate authorisation, for purposes outside of their initial intention i.e. other than sales and demonstration at your place of work, at Clarins authorised events or for personal use.

The resale, including at discounted value, purchasing products on behalf of someone else, refund or exchange of Clarins retail products bought under our staff purchase scheme, received via allocation for training purposes or received in any other way may result in the Company

immediately terminating your employment without notice by reason of gross misconduct. Please see the Company Disciplinary Policy for further guidance.

Products obtained through any of the methods outlined in the preceding paragraph must not be used or sold for financial gain via auction sites or social media (including, but not limited to, eBay, Facebook and Instagram) or by any other means e.g. the sale to markets, competitors, suppliers or to others for personal financial gain. If it is found that a member of staff has used or sold any items obtained through any of the above means, further action will be taken in line with the company Disciplinary Policy and potentially a criminal investigation involving the police.

Please be aware that it remains your responsibility to ensure that gifts to friends and family are not misused or resold. This includes returning to store for refund and/or being sold on trading sites such as eBay.

In line with the Clarins Data Protection Policy, please be aware that any personal information provided to the Company, including but not limited to your name, physical address, next of kin / emergency contact information, email address, and telephone number may be used in accordance with the Disciplinary Policy to investigate misuse of staff allocation and purchase mentioned in this policy.

It is important to note that any breach of this policy may be treated as gross misconduct, resulting in action being taken in accordance with the Company’s Disciplinary Policy.
